PREFACE TO UNIFORM ACCOUNTING

PREFACE

The introduction of this new uniform account record book was born out of the need not only to maintain uniformity in record keeping without deviating from the format generally used by the Society but also to maintain strict accountability in the management of funds in the Council.

The new format which was culled from the accounts record booklet for conferences prepared by Victor J.O Ovwurhughen, comes with several amendments to suit the Council. It is aimed to be an instrument for the effective recording of all financial transactions mostly encountered in our conferences.

The mix up noticed in annual reports where some conferences find it difficult to place expenditures and income in their proper heads and sub-heads necessitated this.

The explanations/definitions of the different heads and sub-heads were also put together for members concerned to understand what each stands for. It is intended that all expenditures and income generated by the society will be captured under the various heads and sub-heads.

Also, effort is made to explain the statistical part of the annual report writing which, it was observed, were interpreted in different ways by reporters.

This uniform accounting system which covers three (3) consecutive years of financial reporting requires conferences to weekly enter their income and expenditures meticulously.

It is expected that this will aid conferences to easily file in monthly, quarterly and yearly reports.

Definition of Terms

INCOME HEAD

Definition of Income heads for clarification and uniform reporting.

  • Grants from Sister Conferences via twinning arrangements etc
  • Money giving to a conference from any level of the society

Money from the SSVP alms boxes

Secret Bag Collection

  • 2ndCollections
  • Fund raising in the church for purposes such as care of the sick and feeding the poor, Christmas Sharing, Easter Sharing etc)
  • Bulletin Sales
  • Grants from Parish Priest
  • Lenten Collection (from the parish priest)
  • All contributions from any individual to the Society
  • All contributions from other individuals except benefactors to the Society.
  • Dues is ₦1000.00 per member per annum and is compulsory.
  • Fund raising/Free will donations by members
  • Fundraising activity for specific projects such as Borehole drilling, Charity shop, Bus, Sacramental Shop etc
  • Harvest Sales
  • Collaboration with NGO(external corporate bodies) etc

Funds collected and which is to be remitted to the International Council General

Endowment Fund is paid by every Conference at the rate of ₦2000.00 per urban Conference and ₦1000.00 per rural Conference annually and is remitted in full to the National Council.

EXPENDITURE HEADS

Definition of Expenditure heads for clarification and uniform reporting.

  • Empowerment of clients (setting up client after skill acquisition/ small scale business)
  • Religious articles/sacramental bought for clients
  • Food Sharing (Christmas, Easter etc)
  • Food to clients (purchased)/expenditure on food
  • Transportation to clients

  • Building materials (Cement, Blocks, Zinc), purchased

The annual remittance of N2,000 per urban conference and N1,000 per rural Conference to the       National Council respectively.

Charges incurred while operating a bank account.
